Job Purpose
As an Administrative Assistant at ENOC, your primary responsibility will be to support the daily operations of the department. This includes handling communication, managing office tasks, coordinating meetings, assisting with travel arrangements, and ensuring compliance with EHS regulations.
Key Responsibilities
1. Office Management:
- Schedule and coordinate meetings, conferences, and department events.
- Maintain and organize departmental records and files.
- Arrange office supplies, equipment, and stationery.
- Receive and assist department visitors professionally.
- Process employee leave requests and monitor attendance.
- Handle staff expense claims and update HRMS records.
- Follow up with site managers on customer complaints and ensure timely responses.
2. EHS (Environment, Health, and Safety) Responsibilities:
- Coordinate EHS-related training sessions for new and existing employees.
- Prepare monthly EHS KPI reports and monitor safety performance.
- Arrange Integrated Management System (IMS) training sessions.
- Schedule health evaluations for employees in coordination with the Head Office clinic.
3. Communication & Coordination:
- Answer phone calls, take messages, and relay important information.
- Prepare and distribute departmental communication such as letters, memos, and faxes.
- Gather and organize information from other departments for reports.
- Prepare presentations and reports for internal and external use.
- Take meeting minutes and ensure proper documentation.
4. Travel Arrangements:
- Handle all travel bookings, including flights and accommodation, by coordinating with travel agencies and government relations.
5. General Administrative Support:
- Record and track departmental budget expenditures.
- Raise purchase requisitions in Oracle System and follow up on purchase orders and invoice processing.
- Perform any other related tasks assigned by the manager to ensure smooth departmental operations.
Required Qualifications & Experience
